Carlton United Breweries Case
Study Harrison Data Capture provides Carlton United
Brewery (CUB) with WINopticä
to run a
nation wide imaging solution. Carlton and
United Breweries is one of the world's largest manufacturers of beer. It
delivers and manages many large product lines Nationally and Internationally.
Fosters, Victoria Bitter and Crown are just some of the product names this
organisation has to its credit. In
running this organisation, there are lots of paper documents that enter the
system daily that are essential to the successful operations.
Proof of delivery (POD) slips, accounts from suppliers (accounts payable)
transfer dockets and employment expenses are such examples.
CUB was looking for an imaging solution that would allow across the
nation access to view this range of documents and with the ability to grow with
volume demand and other document types. After
a request for information, Harrison Data Capture was the successful company
because the turn key solution was the only one that could deliver all and more
of what CUB was looking for. CUB
has major offices in most capital cities and run autonomously in regard to
billing and distribution. It needs
fast turn-around of documents, particularly POD slips. Harrison Data Capture has the POD slips on line nationally in
less than 16 hours. Because Harrison Data Capture has bureaus in all states, it
can quickly receive, process and put on line the information every day of the
year. CUB
customer service personnel (CSP) have access to the POD and other documents via
a Microsoft Internet Explorer Browser with an applet that runs WINopticä viewer.
CSP search for the document they require and it is returned nearly instantly to
the screen. From here the operator can print, fax or e-mail the document.
Additionally, the operator can annotate to this file notes, highlight the
sections on the image using overlay technology and stamp it with preset symbols
or text. The
administration of the system is done at Harrison Data Capture. The viewers at
CUB are connected with TCP/IP through the CUB network. This is connected to
Harrison Data Capture via a dedicated ISDN line. The NT server at Harrison Data
Capture is dedicated to CUB. The WINopticä program
holds the index to all the information that CUB has on the file server that is
attached to the server. This is encrypted so that is only meaningful to CUB. The
data is put on the server via all the Harrison Data Capture bureaus. The first
part of the process involves document preparation where all the staples are
removed and pages sorted for size and unfolded. The documents are scanned on
appropriate scanners. This might be on Harrison Data Capture high capacity Kodak
or Bell & Howell machines or the moderate Canon scanners.
The accurate data entry staff then indexes the images and the data is
verified to check for mistakes to get a zero error rate.
The images and the indexes are linked together and then put on the CUB
assigned file server ready for use. The backup, archival and systems management
is all done by Harrison Data Capture. CUB
concentrates on their core competency of making, delivering and selling beer.
The result is a win-win scenario. The
volumes: Harrison
Data Capture scans approximately 60000 documents a month for CUB with a gradual
increase in volume each month. This is made up of multiple pages, multiple type
and multiple size documents. Colour can be any combination so Harrison Data
Capture has had to develop software and correct procedures that make sure there
is no drop out of data. CUB
retrieves 1500 documents a month from the Harrison Data Capture server. The
average response time per search is under two seconds. To
date, CUB has approximately 100GB now on-line in four document types. |
